HeroHQ -Core Product Enhancements

AI Scanning Upgrade
We’ve upgraded the tech behind our asset and receipt scanning. Whether you’re snapping a nameplate or uploading a receipt or invoice, it’s faster and more accurate — less typing, fewer errors.

Receipt OCR for Requests
Now when you attach a receipt or invoice (photo or PDF) to a Request — from a Lowe’s run or a vendor like Grainger — we’ll automatically extract the total. It’s logged and tracked without manual work.

Scheduled PM Request Flexibility
You can now set up PM tasks to trigger either on a standard schedule (like “3rd Monday of the month”) or a sliding schedule that waits a set number of days after the last one was completed. Great for anything with a lifespan — filters, bulbs, etc

QR for PM Tasks (Room Inspections)
Generate a QR code tied to a Taskbook. Staff scan the QR code and get dropped straight into the taskbook steps — no need to go through the Request creation steps. Bathroom inspections just got a little bit easier.

View-Only Role
We’ve created a new permission level for team members or administrators who need visibility into Requests and Events.

Satisfaction Surveys V1
We’ve added the first step toward built-in feedback. You can now include a link to your own survey tool in the Request closure email. It’s basic for now — just a link — but it lays the groundwork for in-app ratings down the road. We’ve tested with Google Forms and Survey Monkey, but any tool should work just fine.

InventoryHQ: Restock Smarter, Order Faster

We’ve completely rethought how you restock inventory.
You can now see all your low stock items at a glance, and create an order of everything you need. As soon as your delivery arrives, you can restock everything with a click. Does your district require multiple quotes? We’ve got you covered.

Introducing Restock
A smarter bulk workflow for bringing in supplies. You can now review all low-stock items in one place, input how many you’re ordering, from whom, and at what price — all in a single flow. If you’re stocking multiple locations, you can split the incoming product into multiple storage locations. We’ve also added an optional quoting steps for districts that require it.

Purchase Requests for Non-stock Items

Tired of back-and-forth emails or calls when you need a one-off part?
Now, when a Request calls for something you don’t stock, you can submit a Purchase Request directly from the Request page — complete with links, pricing, and details for your InventoryHQ admins to review and order. You can also add a link, a price, and any details your inventory admin needs to get it ordered.

EventsHQ: Game On

Athletics Just Got a Whole Lot Easier- EventHQ Now Syncs with BigTeams and Arbiter Sports

If your district uses BigTeams or Arbiter Sports to schedule games and practices, you no longer need to enter events twice. The BigTeams and Arbiter Sports integrations are now live.

We now sync directly with both platforms. Anything scheduled in either system automatically shows up on your EventHQ calendar — keeping custodians, admin, and everyone else in the loop. No more double booking. No more copy-paste. Your team can see what’s happening, where, and when, without needing to copy anything.

More exciting enhancements:

Saved Filters
Filter an event list by location, group, custodial needs, and more — then save that combo so it’s one click next time.

Calendar Redesign (Internal and Portal)
Both calendars got a major visual refresh. You’ll now see:

  • Color-coded events by location
  • Icons for events created by integrations (like Arbiter or BigTeams)
  • Visual status for payments, invoices, and confirmation

Followers and Reminders
Add followers to a Request or event to keep others in the loop.
Set a reminder to nudge yourself — like “email me Thursday to follow up on the invoice.”

Signature on Public Requests
You can now require Portal users to sign their event request when submitting. Not a requirement for your school? Don’t worry, it’s optional!

Dashboard Tiles
New tiles on your Event Dashboard show you important items at a glance — like:

  • Groups Awaiting Approval
  • Insurance Expired
  • Insurance Expiring Soon
  • Events with Expired Insurance

Click any tile to jump straight into a filtered list.

EventHQ Portal

Group Approval Before Public Requests
Some schools want to screen groups before they start booking space. Now you can.
With this setting on, public users won’t be able to submit events until their group is approved.

PlanningHQ

Budgets and Funding Sources
Now you can assign actual funding sources — local, state, grants, bonds — to budgets, and those budgets to projects.

Requests tied to a project pull from its assigned budget, giving you a clearer picture of how money is being spent and where it’s running low.

EnergyHQ

AI-Enabled Custom Reports
